Bulk MAA lets you generate and send every managing agency agreement for a rent roll transfer in one go — by merging a single template with your property management software. Here's what it is, how it works, what it costs, and how long it takes.

What IS Bulk MAA?

Bulk MAA instantly creates managing agency agreements (MAAs) by merging an MAA template built in FLK it over with your property management software. Instead of drafting and sending hundreds of agreements one at a time, you build one template, connect your CRM, and FLK generates a compliant, ready-to-sign agreement for every property — each pre-filled with the owner and property details already in your system.

What is the process?

  1. Create your account. We set up a new, isolated FLK it over account for the transaction.

  2. Build your template. Start from the pre-configured sample MAA template and fill in your fixed details so they're set once. The more you set now, the fewer manual edits per agreement later.

  3. Connect your integration. Switch on your property management software so owner and property data merges straight in.

  4. Write your two emails. A welcome/signing email that goes out with each agreement link, and a success email sent automatically once an owner signs and the agreement is finalised.

  5. Run a test merge. Generate a small batch (around five properties) to check data accuracy, field mapping, and formatting.

  6. Review the data. Fix anything that looks off in the template or mapping, then re-test until it's clean.

  7. Final merge and send. Generate and send across all properties, then track delivery, signatures, and confirmations live from your dashboard


What data can be pulled across?

Once your integration is connected, FLK merges owner, property and financial data straight from your CRM, so you're not re-keying anything. What comes across depends on your platform.

Rows marked (optional) can be left out of the merge if you'd rather enter your own value (for example, your own market rent instead of the current rent); just let us know during setup. Handling the compliance steps

A few parts of the agreement involve landlord interaction, you choose how to handle them across the whole merge. Here's each one, with the options for you to decide how to proceed.

How to handle bank details

Entering banking details for every property by hand is slow and error-prone and has data concerns, so you've got two ways to handle disbursement details:

  • Manual entry per property. Enter the owner's EFT bank account on each agreement — account name, bank name, BSB, and account number — or set it to "Owner to enter" so they add their own.

  • A global disbursement clause. Skip per-property banking and include a single clause authorising the sharing of details securely between the agencies.

The Landlord authorises [Current Agency] to securely provide the Landlord's rent disbursement banking details to [Incoming Agency] as part of a rent roll restructure or related transaction. These details will be shared confidentially and will not be unnecessarily reproduced on this agreement.

How to handle outgoing instructions

Outgoings can be managed two ways:

  • Manually per property. For each property, set who handles each outgoing — Owner to instruct, Agent to pay, or Not applicable — across rates, utilities and charges (council rates, water and/or sewerage, land tax, accounts for repairs/maintenance, insurance premiums, and strata/community title levies).

  • Globally, with a pre-set arrangement. You can set all outgoings to be agent to pay that way. They don't need to be individually defined per property prior to sending and potentially include the sample clause below.

[Incoming Agency] will continue to manage and pay all outgoings in the same manner as previously handled by [Current Agency]. This agreement pre-authorises [Incoming Agency] to make additional outgoing payments on the Landlord's behalf, If the Landlord would like to change which outgoings [Incoming Agency] pays or how they're managed, the Landlord can notify [Incoming Agency] in writing. Once those written instructions are received, [Incoming Agency] will update its records and apply the requested changes.

How to handle disclosure of tenancy, rental history and termination notice history

This is where you confirm the property's tenancy and history so taking on the management doesn't accidentally breach legislation — for example, if the property is in an exclusion period, or if the last rent increase date needs to carry across.

  • Who answers the disclosure questions. Set this to "Agent to enter" so you can pre-answer, rather than leaving it to the owner.

  • The disclosure questions. These cover whether the property was leased to a tenant at any time in the past 12 months, whether it's currently rented, whether a termination notice was issued in the past 12 months, and whether there's been a rent increase in the past 12 months for the current tenant.

  • Last rent increase date. Property Tree users get this populated automatically; otherwise transfer it across so it's accurate.

  • Termination notice history. Only needs completing if there's been a termination that would trigger an exclusion period (e.g. the owner terminated due to a proposed sale of the premises). Best practice is to default this to "No" and switch it to "Yes" only where it applies, before sending.

The Landlord authorises [Current Agency] to disclose and transfer to [Incoming Agency] the complete rent increase history and termination notice history for the managed property, as part of the rent roll transaction between the two agencies.

The Landlord acknowledges this transfer is necessary so that [Incoming Agency] can meet its obligations under the applicable residential tenancy legislation in relation to:

  • Rent increases — including the timing and frequency of any past increases, and

  • Termination notices — including any notices issued and their status.


What does it cost?

$10 per agreement, with a minimum charge of $2,000 + GST.

What timeframe do we need?

Usually 3 to 5 days from the point of engagement to going live and sending.

That window covers setting up your account, building and reviewing the template, connecting your integration, running a test merge, and getting stakeholder sign-off. Because rent roll transfers are settlement-driven and time-sensitive, the whole process is built to move quickly — and a couple of heads-up emails (and a quick call) to owners before the links go out keeps completion fast once they land.

Frequently asked questions

Who signs the agreement, and who completes the ID check?
The owner signs the MAA and uploads their ID. Your team then reviews and verifies it to complete the Verification of Identity (VOI). Once verified, FLK securely deletes the ID documents and creates a digital verification stamp. VOI can be switched on or off at the template level, or per agreement before sending.

Is it compliant?
Yes — it's built to meet NSW requirements, including VOI and the legislative disclosures owners complete as part of signing.

Can owners sign on paper instead of the link?
Yes, PDF signing is available, but the secure link is the fastest, easiest way to complete everything, you can then upload the manually signed document back into FLK it over.

What if an owner has multiple properties?
We can give you specific instructions on how best to structure multiple properties for the one owner on a FLK it over agreement.

Can different property managers send under their own name?
Yes — imports can be run per property manager, so the right PM name appears on the sending email.

What if we are only selling part of our rent roll?
You can do an import based on tags in the CRM so we can isolate the correct properties

What if some data isn't in the CRM?
You pre-fill or set sensible defaults in the template, so there's as little manual editing per agreement as possible.
