Expired PDF links: changes to how large PDF files are stored and shared

Links to large PDF files sent before 4 October 2026 have expired. Here's what changed and how to check your documents.

As part of our recent security upgrades, we've changed the way FLK it over stores and shares large PDF files, to keep your documents and your clients' information secure.

What's changed

Previously, when the PDFs attached to a document added up to more than 8MB, we hosted the files separately and included a link for the recipient to open them, rather than attaching them to the email. This made sure the email was delivered and not rejected for being too large.

This applied both to a single large PDF and to several PDFs that together exceeded 8MB.

From 4 October 2026, these files are stored with additional security controls in place.

Which documents were affected

Large PDFs were sent as a link from:

  • Attachments in the documents section of leases

  • Property management and sales agreements

  • Upload a Doc

  • Exchange of Contracts

  • Termination notices, breach notices and revised estimated selling price notices

PDFs under 8MB in total were attached to the email as normal and aren't affected.

What happens to old links

Links to these PDFs created before 4 October 2026 have now expired. If a recipient didn't open or download the PDFs before then, they can no longer access them.

If anyone clicks an old link, they'll see a message explaining that the link has expired and asking them to contact you for a copy.

Do I need to do anything?

For most users, no. This is simply an update to how the platform works.

However, if you've recently sent an important notice where the supporting documents form part of a legislative requirement (for example, a termination notice with attachments), we recommend reviewing it.

How to check if a document was sent with a link

Option 1: Check your CC'd copy

You're usually CC'd on these emails. Open your copy of the original email to see how the PDFs were delivered: as attachments, or as a link.

Option 2: Check the file size on your dashboard

  1. Open the document from your dashboard.

  2. Scroll to Attached Files.

  3. Check the file size shown under each attachment.

If the attachments add up to more than 8MB, they were sent as a link.

If the PDFs were sent as a link

You can either:

  • Check with the tenant that they received the documents, or

  • Resend the supporting documents to them separately.

Going forward

Everything will work as it does today, and there's nothing you or your clients need to change.
