How to Send Landlord Information Statement

Written by Andrew Colagiuri

In FLK it over, you can either send out the Landlord Information Statement after the lease is drafted, sent for signing, awaiting completion, or when it is complete. Note that landlords only need to acknowledge the LIS; they do not sign it. If/when the statement is sent prior to the signing, it will be required that it is acknowledged by the Owner before the agent can sign and complete it. You will find the "Send Landlord Information Statement" button in the "Landlord" section of the lease when in Drafts, Sent for signing, Awaiting Completion, or Complete - see sample below.

You'll be prompted to choose how you would like the statement to be sent out - via SMS or email - and to enter the landlord's contact details. If the agreement is linked to an integration, we will include the landlord's contact details as a suggestion tag if available.

Note: Each landlord contact can only have one email address. If there are multiple owners, they must be added as separate landlord contacts to ensure all necessary communications are received. Additionally, if a contact card contains multiple email addresses, only one can be selected for sending communications.

The landlord will receive an SMS or email with a link to read and acknowledge the statement. The email reads as below:

The link will take them to a page where they can scroll to review and acknowledge the statement.

Once it has been acknowledged, the agent assigned to the lease will receive an email confirmation.

You can view proof of acknowledgement in the audit trail, and view a PDF of the acknowledgement in the 'Documents' section of the agreement once the lease has been signed and completed.

Special Scenarios

  • Moving a Lease Back to Drafts: This action does not reset the landlord’s LIS acknowledgment. Only tenant signing progress is reset. The landlord’s acknowledgment remains recorded and will be included in the completed agreement.

  • Acknowledgement After Lease Completion: The LIS can still be sent and acknowledged even after the lease is marked as Complete.

  • Digital Signing Not Possible: If the landlord cannot digitally acknowledge the LIS, the agent can confirm acknowledgment outside of FLK and proceed.

FAQs

  1. What happens if the LIS shows as acknowledged in emails but not on the lease?

    • Ensure the acknowledgment is recorded in FLK. If acknowledged outside FLK, confirm it manually in the system.

  2. Why does the LIS show the old rent after a rent increase?

    • Ensure the rent increase date is after the lease commencement date. Adjust the starting rent or the rent increase date as needed.

NSW-Specific Information

  • In NSW, the LIS is automatically included in Property Management Agreements and Residential Tenancy Agreements as a default attachment. It cannot be manually removed or replaced.

  • FLK automatically updates the LIS in NSW agreements as part of standard document rollouts. No manual updates are required.

You can view proof of acknowledgement in the audit trail, and view a PDF of the acknowledgement in the 'Documents' section of the agreement once the lease has been signed and completed.
