FLK it over has introduced the Vendor & Landlord Document Request β a brand-new feature designed to streamline the way your office collects supporting documents across both sales and property management.
This feature operates independently of the signing workflow and is available on every agreement in FLK it over, at any time. That means you can use it during the onboarding of a new listing, or return to an agreement signed years ago to request updated documents from your client β all within the same platform.
π‘ Why It Matters
Collecting documents from vendors and landlords has traditionally meant a fragmented process β chasing attachments across email threads, SMS exchanges and multiple parties. The Document Request brings all of that into one place, giving your office a single secure hub for every document you need β whether for onboarding a new property or managing the ongoing needs of a long-term client relationship.
This feature is designed to be built into everyday workflows, replacing ad hoc document collection with a consistent, auditable, and secure process housed entirely within FLK it over.
π What You Can Request
The Document Request can be used to request any document your office requires β there are no restrictions on document type. Common examples include:
Property onboarding documents β water rates, council rates, strata levies
Legal and transactional documents β power of attorney, executor or estate authorities
Ongoing management documents β landlord insurance policies, updated compliance records, or any other document relevant to the history of a property under management
Clients can upload files in PDF, JPEG or photo format, making it easy for them to submit documents directly from their phone or computer. Each request supports up to 4 uploaded files β so if you request an insurance policy, for example, a client can upload multiple PDFs against that single request.
π How It Works
Create a document request β Available on the final step of creating a new property management or sales agreement, and accessible at the bottom of any existing agreement in FLK it over.
Send to your client β Deliver a secure, individual link to your client via email or SMS directly from the platform.
Client uploads securely β Your vendor or landlord follows their unique link and uploads documents β as files or photos β through a secure portal.
Documents stored centrally β All uploaded documents are stored within FLK it over in one central location, accessible against the relevant agreement.
Review and manage β Once received, you can:
Review the document and add notes, or
Review the document, purge it for security purposes, and retain your notes
π₯ Multi-Party Requests
Where there are multiple vendors or landlords on an agreement, each party receives their own individual link. If one party has already uploaded a document, the others can see that the task has been completed β including who completed it and when β so there is no duplication of effort. Each party can still contribute to the request independently via their own link.
π Security & Audit
All documents are stored securely within FLK it over
Agents are required to have two-factor authentication enabled to view uploaded documents
Every document viewing is logged for security and audit purposes
